Facilities Coordinator – Fixed Term Contract (until February 2027)

What this role looks like 🎯
We’re on the lookout for a Facilities Coordinator to join us on a maternity cover contract running until February 2027, based in our Gibraltar office.
This is one of those roles where no two days are the same. You’ll be at the heart of keeping our workspace running smoothly, making sure everything behind the scenes just works so our teams can focus on what they do best.
From managing suppliers and organising repairs to supporting events and keeping the office environment in top shape, you’ll play a big part in creating a workplace people genuinely enjoy being in.
You’ll work closely with our Facilities Manager and wider teams, taking ownership of day to day operations while also getting involved in projects that improve and evolve our workspace.
What you’ll be getting up to 🌟
Keeping the office running day to day, making sure everything is safe, organised and operating efficiently
Managing relationships with suppliers and contractors, from booking work through to completion
Ordering office supplies and managing purchases
Raising purchase orders, handling invoices and keeping on top of expenses
Supporting meeting and diary coordination, including room set up and catering
Organising couriers and handling deliveries
Carrying out regular office checks and facilities inspections
Supporting workspace improvements, refurbishments and general projects
Working closely with H&S to ensure compliance and best practice is followed
Helping to plan and run team events and internal activities
Keeping documentation, reports and internal comms up to date
Acting as a key point of contact for employees, suppliers and senior stakeholders
What we’re looking for in you 💡
Previous experience in a facilities or workplace coordination role, or strong transferable skills from a similar fast paced, operational environment
Someone who’s organised, proactive and happy juggling multiple things at once
A confident communicator who can work with people across the business
Comfortable working independently and using your initiative
Calm under pressure with a practical, solutions-focused approach
Strong attention to detail and a natural eye for improving how things run
Ability to speak Spanish would be beneficial, but not essential.
